Changing approved Dictionary Items

In this article, users will be introduced to the Destination and Message Dictionary Approval Process.


In order for a dictionary item to be added to a digital sign or a location in the map it needs to be approved. Once a dictionary item is applied to a location on the map OR a digital sign, to make changes to the copy you will need to perform a ‘Copy Change Request

How does Destination and Message Dictionary Approval Process work?

  1. As a user, you submit a copy change request for a dictionary item. Both changes to the Display Copy and Map Label Copy are required in this process.

    1. Display Copy is the copy that appears on digital signage

    2. Map Label Copy appears in eXplorer maps

  2. As an Approver you review any changes and how it effects signage listed in the Linked Assets List.
    This list shows which signs and in which scenes these changes will be seen.

  3. Once Approved the Changes can then be Applied and the process is complete.


Example of an Approval Process

We will show an example of the approval process involved when changing the name ‘Theater’ to ‘Theatre’

Steps

The requester / the ones making the proposed changes will typically do this part.

1. In the PAM navigation menu, go to Dictionary > Destination Dictionary

2. Find the dictionary item you want to edit. We have searched for Theater and will be editing this item.


3. Select Request Change to allow access for editing the content.


4. Make the necessary changes. We have put in a request to make Theater become Theatre as our new display name and map name.

5. Click on the linked assets dropdown to see which signs this new change will affect.

6. Save changes when complete


Previewing Copy Changes

When viewing the dictionary item, the list inside Linked Assets is clickable, meaning that you can go straight into that sign to look at the content and the proposed changes.

Once changes have been submitted, the approver will now take over from the requester and proceed to take a look at it.

The proposed changes can be previewed by the approver within Digital Sign Manager. Within Digital Sign Manager, the signs with the requested changes will be shown in orange on the map. When one of these signs are selected users can switch between two preview modes - AS INSTALLED (what is currently showing in real-time) and REQUESTED CHANGES (what will replace the original content) to preview the differences.

Find a sign that contains the proposed requested changes. You can do this by referring to the linked assets section of the dictionary item you just edited or by clicking on a sign with an orange indicator on the map.

7. We have selected sign P3.1 03-041

8. Notice that Theater can be seen as part of the content of the sign. This is how it looks like currently.

9. To see the proposed change for Theater, click on Requested Changes.


10. Notice that Theater is now Theatre. This is the change that will become permanent if approved. The whole point of getting the approver to look at these changes is to show them how it will look like once approved.


If the approver likes what they see then they can proceed to approve the requested changes.

They will need to go back into the dictionary item and edit it. In this example, the approver will go and find ‘Theater’ and edit it.

11. They will need to click on Request Change


12. The approver will see that the proposed changes have already been submitted by the requester. They will now have to activate the red tick button both times to confirm the change. This will make it become a green tick button


13. You can see the green tick button appearing on both areas. This signifies that the changes have been enabled.

14. This will make Theater become Theatre in all signs inside Linked Assets on the right-hand side.

15. Select Save and Apply Changes to confirm everything and make it live.

Once the copy changes have been approved and saved, the changes will be applied automatically.

In our example, Theater has now become Theatre

HINT: Please remember to always save changes no matter how small AND if other pages are opened in different tabs, you must refresh them for the changes to be seen.

For example, in this article, the user may have Destination Dictionary and Digital Signs opened in different tabs. When a Destination Dictionary item has been modified and saved, the Digital Signs tab needs to be refreshed to see the new changes.
